Match the accommodation quotes
Use the same dates and number of travelers. Record room type, occupancy, total due, currency, payment timing and cancellation terms beside each quote.
Keep a dorm-bed total separate from a private-room total. If the products differ, note what the extra cost buys before choosing.
Give each journey its own line
Record the airport ticket and final leg separately unless the quote includes both. Compare a direct transfer using the same party and luggage. Add departure transport if the next morning includes a flight.
For an onward ferry, include travel to and from terminals as well as the crossing. An unpriced final leg leaves the comparison incomplete.
Separate spending from money held
Keep security holds, deposits and potentially refundable amounts separate from the cost of the stay. Record when each is paid and the conditions for release or refund.
Keep a contingency reserve beside the main total and name the alternative it would fund. For different currencies, retain subtotals before adding an explicitly chosen conversion and payment fees.
A worksheet for your own quotes
Fill every row from the terms shown for your dates and party. Keep the source and the time you checked it beside the amount. Leave an unresolved amount blank and resolve it before treating the total as comparable. Use quotes for your actual dates rather than an assumed daily budget.
| Line to record | Quote or inclusion to check | Payment question |
|---|---|---|
| Bed or room | Occupancy, dates, room type and nights | Currency, payment timing and total due |
| Taxes and mandatory charges | Included in the displayed total or added later | Payable online or at the property |
| Deposit | Reservation deposit and any separate security hold | Refund conditions and release process |
| Arrival transport | Airport departure point and exact destination | Ticket conditions, luggage and changes |
| Final leg | Arrival stop to the hostel door | Separate payment or already included |
| Departure transport | Property door to the correct flight terminal | Booking conditions and cancellation |
| Optional onward journey | Terminal access, outbound crossing and return | One-way or return terms; change rules |
| Essentials | Food, water, connectivity and personal needs | Included, available for purchase or your own provision |
| Contingency | An alternative you could actually pay for | Keep separate from the base comparison |
Compare like with like
Use the same dates and number of travelers for each accommodation. A dorm bed total and a private-room total describe different products. Note whether two travelers would need two bed bookings, whether a displayed room price covers the full party and whether minimum-stay terms change the number of nights you must buy.
Keep refundable and nonrefundable choices on separate lines. If your first night’s admission is unresolved, a lower nonrefundable quote does not settle the arrival problem. Record the cancellation deadline in the time zone the merchant specifies and keep the original terms.
For several currencies, keep a subtotal in each currency first. If you convert them, write down the exchange rate, its source and date, then add any payment fee you actually expect. Do not silently compare an online display conversion with the amount a card or property will collect.
Make a decision with the gaps visible
For each candidate, write one sentence: “This total includes [items], excludes [items], and still needs confirmation of [gaps].” Compare those sentences before choosing. An unknown final leg or late-admission arrangement belongs beside the total, because it can change the plan.
Start with the Three downtown hostels for different kinds of stay, check the Late arrival: confirm admission, not just reception, then return to this worksheet with actual quotes.
Compare a bus plus the final leg with a direct transfer using complete quotes for the same party.
